Exhibiting at the NorthWest Herb Symposium

The NorthWest Herb Symposium will be held at the Camp Casey Conference Center, Coupeville, Washington on Whidbey Island. This is a full-service facility with lodging, meal service and meeting rooms in an idyllic setting at a beach on Puget Sound with the Olympic Mountain Range to the west and the Cascade Range to the east.

Exhibitor set-up day will be Thursday Afternoon. We will also be offering intensive classes that afternoon. But these intensives will not interfere with exhibitor set-up. There will be a one-hour open house of the exhibit hall after the intensives for those not attending the whole symposium at 5:00 pm, Thursday, August 20. 


We are anticipating an attendance of 100 herbalists. But, we can accommodate over 500 if needed. The Northwest has a broad and active herbal community. The NorthWest Herb Symposium presents an annual opportunity for them to come together and for you to join with them in their celebration of plant life.

Display Booth in the Exhibit Hall

Display Booth in the Exhibit Hall measures 10 feet wide with an 8-foot table and chairs provided. The room is a gymnasium with a high ceiling. The cost of each full booth is $300. Booth fee includes for one person symposium registration plus a NWHS proceedings book.

Sign Up for Space in the Exhibit Hall

Vendor space is for herbal products, handcrafted items, fabric/clothes, herbs and herbal related products, edibles and books. Fees must be paid in full to hold your space in the exhibit hall.

You are welcome to set up Thursday afternoon beginning after 1:00 pm or Friday morning (8:00 am - 10:00 am) prior to the break at 10:30 am. There will be a one-hour open house at 5:00 pm Thursday evening for attendees to visit the exhibit room. You may want to plan to staff your booth from 5-6 pm. (Some people will only be attending the Thursday afternoon intensives).

Booths are pre-assigned and will be identified with table signs. Please no switching locations. If there are any questions/concerns, please check with the registration desk next door in Classroom Building B.

An exhibitor’s registration form and the exhibit floor plan can be emailed or sent to you. Please contact us. You can also register for an exhibit booth at our website www.nwherbsymposium.com

You will be completely responsible for the setup and cleanup of your exhibit area, including any boxes and packaging you brought, and for your exhibit during the symposium.

We will lock up the exhibit room in the gym at night, but you will be responsible for your merchandise. Generally, people are honest but this area is open to the public. You might wish to bring a cloth to cover your products when you are not attending the booth.

The NorthWest Herb Symposium assumes no responsibility for any lost or stolen items.

PLEASE NOTE: Neither Camp Casey Conference Center nor the NorthWest Herb Symposium is responsible in any way for your merchandise. No packages can be delivered to the camp prior to the Monday before the symposium. You must make arrangements with UPS to have your booth items picked up on the Monday, after the symposium. Please be sure items are packaged, prepaid, labeled and ready for UPS pickup on Monday. Thanks for your cooperation.

Please send your booth registration in ASAP. Booth space is limited. We want to be certain to reserve space for those who wish to participate.
